How to Manage Your Etsy Sold Orders in 2026
by Jasmin Mipaña •October 13, 2026
Cha-ching! This notification sound is probably what every Etsy seller loves to hear every day. This means an order is placed in your Etsy shop. Want to hear this sound more often? Aside from posting clear photos and detailed listings, managing your Etsy sold orders is a skill you should master.
If you’re new to Etsy and still learning the ropes, or want to try Etsy again after a break, here’s how to manage your Etsy sold orders to help keep your shop running smoothly and give buyers a better shopping experience.
Before you start—what to know
- Etsy sold orders are the items your shoppers successfully checked out.
- Sold orders can be viewed and monitored using Etsy’s Shop Manager, your all-around Etsy dashboard.
- Full order management is best done on desktop, while the app is great for checking new orders and updates.
How to Manage Your Etsy Sold Orders
This is the desktop version.
Step 1. Locate Shop Manager
Log in to your Etsy account and click on the Shop icon in the upper-right corner of the screen (between the notification bell and your profile). This will take you to your Shop Manager page.
Step 2. Check Orders and Shipping
Here you can find tabs for your sold orders: New, In Progress, and Completed.
Step 3. Click on the New Tab
Doing this shows the orders you need to manage the most—they have not been shipped yet. Click New to see if Etsy has processed the payments yet. If yes, proceed to the next step. If not, wait until Etsy clears the payment.
Step 4. Start prepping and packing

Now that payment has been confirmed, you can start preparing the orders. Take photos and videos while doing so. These photos and videos may come in handy in case of disputes, and also gives the buyer an additional layer of security.
Step 5. Ship the item
Only ship items once Etsy confirms payment is complete. You can either ship through Etsy (the common way) or use your own shipping. Don’t forget to message the buyer once you’ve completed the shipping process. We recommend including the packing video in your messages to ensure what you prepared and what they receive match.
Step 6. Track the rest of your sold orders
Once you’ve finished shipping your new orders (or while waiting for payment to get through), take a look at your completed orders. You can review and analyze data about your Etsy sold orders, including item price, Etsy fees, taxes and other information. Etsy sold order data can be downloaded as a CSV file with custom date range according to what period that needs reviewing.
Download your sold orders data by going to Shop Manager>Settings>Options>Download Data.
Step 7. Take a look at your transaction history
You’ve seen the sold order data. Now, you can compare them to your transaction history to get a better view of how your business is running. For example, you’ll be able to see which item had the biggest transaction fee, how much is your payout for that item, and other payment information. To do this, go to Shop Manager and choose Finances on the left side of the screen.
Step 8. Monitor your shop’s activity through mobile

Etsy’s desktop version is the best when you’re accessing Shop Manager and your sold orders in detail. For quick checks, the Etsy app is handy to use (for example, checking whether the payment for your handmade baby crib has already been cleared).
Frequently Asked Questions
Q: If a buyer places an item in their cart, does it count as an Etsy sold order?
A: No. An item in a buyer's cart does not count as a sold order. Buyer needs to complete checkout before item us moved into sold orders
Q: Are Etsy sold orders and sold listings the same?
A:No. Sold orders refer to purchases made by buyers, while a sold-out listing indicates that the item is no longer available for purchase in that listing.
Q. My Etsy listing was marked sold out, but I don’t see any order. What could be the cause of this?
A: Many reasons prevent an order from appearing in your Shop Manager. Among the following include cancelled orders, incomplete payments, crosslisting apps taking a lot of time to upload CSV files, etc. You may try refreshing the dashboard, check for synch issues, and your financial records for any discrepancies.
